Terms and Conditions of Membership and Volunteering
These terms and conditions apply to all Guides and their parents/guardians if under 18 years of age and Members (Adult, Trefoil Guild and Life) and volunteers. They are designed to ensure a safe and enjoyable space for all participating in Guiding across Victoria.
Girl Guides Victoria is not liable for any personal injury, loss, or damage to property during Guiding activities, except where required by law. We are also not liable for any loss or damage from the cancellation, postponement, or alteration of Guiding meetings, activities, or events.
Youth Members / Guides
I. I agree to pay the membership fees (annual registration and guiding term fees) and other activity or event fees as requested and variable from time to time for my child to participate in Guiding.
II. Membership fees are non-transferable.III. Once you have registered and paid membership fees, a refund will only be provided in the following circumstances:
- a. The participant has a medical condition which prevents them from any further activity which occurs within the first 6 weeks of registration and will preclude any activity for the remainder of the paid Guiding term period (a doctor’s certificate will be required); or
- b. At Girl Guide Victoria’s head office sole discretion;
- c. A payment gateway or system error e.g. duplicate payment.
IV. The Kids Get Active Voucher may be used towards annual registration and guiding term fee payments for residents of Victoria, where available.
V. Youth members must follow our Girl Guide Promise and law, which includes respecting leaders, volunteers, other Guides and staff and comply with our GGV Rights and Behaviours Policy.
VI. If my child is injured (including illness, disability, or death) during Guiding due to an accident, negligence, or breach of obligations, Girl Guides Victoria’s liability is limited to their insurance coverage, which may not cover all costs. I agree to pay any remaining expenses.
VII. Girl Guides reserves the right to decline or cancel Youth Membership at any time.
Adult, Life Members & Trefoil Guild Members
I. I agree to pay the annual membership fee as requested for my Girl Guides membership.
II. I acknowledge that my membership fees are non-refundable and non-transferable, and that my membership:
- a. May be suspended or terminated if Girl Guides is notified of a child safety complaint or if there are serious allegations against me, including breaches of Guides Code of Conduct or commitment to child safe child friendly.
- b. Will be suspended immediately if there is a report of conduct to the Commission for Children and Young People (CCYP).
IV. I understand that as a Girl Guides Member, where I have been assigned a role, I perform all duties on a voluntary basis and will not receive any remuneration or payment for my work, other than reasonable reimbursement of expenses associated with those duties.
III. I understand that any suspension of membership will remain in effect while the matter is under investigation.
V. If I am injured (including illness, disability, or death) during Guiding due to an accident, negligence, or breach of obligations, Girl Guides Victoria’s liability is limited to their insurance coverage, which may not cover all costs. I agree to pay any remaining expenses.
VI. As per the Girl Guides Victoria Constitution, Girl Guides reserves the right to decline or expel Adult, Life and Trefoil Guild Membership at any time.
Ongoing Volunteers
I. I agree to adhere to our Commitment to Safeguarding Young People Charter and GGA Code of Conduct, which sets the standards of behaviour expected of all adults participating in Girl Guiding in Australia.
II. I understand that my status as an Ongoing Volunteer may be suspended or terminated if Girl Guides is notified of a child safety complaint or if there are serious allegations against me, including breaches of Guides Code of Conduct or commitment to child safe child friendly.
III. I understand that my status as an Ongoing Volunteer will be suspended immediately upon a report of conduct to the Commission for Children and Young People (CCYP).
IV. I understand that any suspension of my status as an Ongoing Volunteer will remain in effect while the matter is under investigation.
V. I understand that I am expected to behave in a manner that reflects positively on the Association and any misconduct or of these terms may result in disciplinary action, including retraining, suspension or termination of my Ongoing Volunteer status.
VI. I understand that as an Ongoing Volunteer, where I have been assigned a role, I perform all duties on a voluntary basis and will not receive any remuneration or payment for my work, other than reasonable reimbursement of expenses associated with those duties.
VII. If I am injured (including illness, disability, or death) during Guiding due to an accident, negligence, or breach of obligations, Girl Guides Victoria’s liability is limited to their insurance coverage, which may not cover all costs. I agree to pay any remaining expenses.
VIII. Girl Guides reserves the right to deny my involvement in Girl Guides as a Volunteer at any time.
Casual Volunteers
I. I agree to adhere to our Commitment to Safeguarding Young People Charter and GGA Code of Conduct, which sets the standards of behaviour expected of all adults participating in Girl Guiding in Australia.
II. I agree to familiarise myself with the GGV child safe practice resource and GGA Child Safe Child Friendly framework.
III. I agree to register my attendance via the Casual Volunteer QR code poster each time I volunteer with Youth members or other children or young people present.
IV. I agree to register as an Ongoing Volunteer should my volunteering activities change to include unsupervised access to children (other than my own family members) or ongoing participation more than 4 times in a 12-month period. This will include completing the additional screening and Child Safe training requirements for Ongoing Volunteers.
V. I understand that my status as a Casual Volunteer may be suspended or terminated if Girl Guides is notified of a complaint involving child safety or if there are serious allegations made against me related to breaches of our Code of Conduct.
VI. I understand that my status as an Ongoing Volunteer will be suspended immediately upon a report of conduct to the Commission for Children and Young People (CCYP).
VII. I understand that any suspension of my status as a Casual Volunteer will remain in effect while the matter is under investigation.
VIII. I understand that as a Casual Volunteer, where I have been assigned a role, I perform all duties on a voluntary basis and will not receive any remuneration or payment for my work, other than reasonable reimbursement of expenses associated with those duties.
IX. If I am injured (including illness, disability, or death) during Guiding due to an accident, negligence, or breach of obligations, Girl Guides Victoria’s liability is limited to their insurance coverage, which may not cover all costs. I agree to pay any remaining expenses.
X. Girl Guides reserves the right to deny my involvement in Girl Guides as a Volunteer at any time.
Volunteers, Adult Members, Trefoil Guild members, Life Members, Youth Members, and their parents/guardians agree to indemnify Girl Guides Victoria against any claims arising from a breach of these terms and conditions.
Girl Guides Victoria reserves the right to amend these terms and conditions at any time. Any changes considered to be material to your involvement with the Association will be communicated via email.
